I came across an interesting question: “Do I need a tickler file if I use a PDA?” My answer is a resounding YES! As a Palm Treo girl myself, I use a tickler file. So, let’s talk about the difference between the two.The PDA electronically manages: calendar, address books, mobile phone (such as Blackberry or Treo), personal contact software integration (i.e. Outlook), shopping lists, electronic copies of documents, (add your favorite here), etc.

The Tickler File physically manages paper: tickets to the game or theater, forms or paperwork needed for a specific day, maps, etc.

The above are not exhaustive lists, but they give you an idea of how the PDA and Tickler File help you organize your schedule and paper. The two of them work well together, and there can be some overlap in what they can provide. For example, you could download a small program to store maps on your PDA, or you can scan in important documents and use Adobe Acrobat for reading them on your PDA. However, some people are tactile and would like an actual map in their hand for a trip. Two things that cannot necessarily be scanned in would be tickets (unless it’s an e-ticket) or forms which need to be handed in on a certain date. Other than that, the possibilities are endless! So hey, find the groove that works for you - and if you can go completely paperless, I’m all ears! :)

Sometimes people think they don’t need a tickler system if they have a PDA but the tickler is great for storing papers that can’t or doesn’t make sense to be in your PDA. Thanks for addressing that concern. I encourage my clients to use a tickler system. Sometimes I get resistance on using a tickler system because they feel once they file something in the tickler they’ll forget about it. My tip is to create a daily reminder in the PDA to check the tickler system. This way they can feel comfortable putting their physical documents in the tickler as oppose to piling it on their desk and not being able to find it later.
